Fee Calculation

Depositary fee calculation, automated and auditable.

Fee calculation is time-consuming and error-prone when done in spreadsheets. Depowise calculates depositary fees directly from fund data already on the platform, generates them automatically on schedule or workflow trigger, and routes them through a configurable approval process before any output is produced.

  • Flexible fee templates reusable across funds: one-off or periodic, fixed or calculated against AUM, cash, equity, or other position data. Rate thresholds, rate per band, and fee caps supported natively.
  • Automated fee generation on a scheduled basis or on workflow completion, with a configurable review and approval workflow before fees are finalised.
  • Fee matching: generated fees can be matched to incoming cash movements, with third-party and back-office system integration available as part of an onboarding project.

Due Diligence Questionnaires

Structured DDQs, from template to risk score.

Managing DDQs across custodians, fund administrators, and sub-custodians is a recurring obligation. Depowise structures the full cycle: template creation, scheduled issuance, external response collection via a secure portal, automated risk scoring, and lifecycle monitoring, all without coding.

  • Configurable questionnaire templates with nine standard question widget types, section-level weighting, and flexible risk scoring logic. Previous answers roll over to the next DDQ cycle, reducing counterparty effort.
  • Automated scheduling and reminder system: internal dashboard alerts for your team, external email reminders for counterparties, with configurable timing relative to the DDQ start date.
  • Risk scores calculated automatically per response, grouped by section, with the highest-risk section driving the overall rating. Scores are linked to the asset servicer and fund record with full historical tracking.

Client Portal

Controlled access for the parties you work with.

Depositaries work with a wide range of external parties. Depowise provides a secure, branded portal that gives these parties controlled access to the processes they need to participate in, without requiring full platform accounts.

  • One-time access links with system-generated PINs distributed per questionnaire or process. No permanent account setup required for external parties.
  • External parties can respond to DDQs, post comments, upload documents, and track submission status directly through the portal in real time.
  • All portal activity is immediately visible to internal users and captured in the platform’s audit trail. Branded with corporate design options for a consistent external experience.

Company Secretary

Meeting management structured and documented.

Depositary and fund board meetings require structured preparation, clear agendas, and complete documentation. Depowise provides a dedicated Company Secretary module that manages the full meeting lifecycle, linked directly to the funds and counterparties already tracked on the platform.

  • Configurable meeting types with agenda management, document requirements, and task assignment per meeting stage.
  • Document management per meeting with upload, classification, validity tracking, and deadline alerts, consistent with the document management framework used across the rest of the platform.
  • Full audit trail per meeting, with attendee records, decisions, and supporting documents retained for regulatory and governance purposes.

Fund Onboarding

New funds onboarded with structure, not spreadsheets.

Every new fund requires the same foundational steps: document collection, counterparty verification, static data setup, cash account configuration, and sign-off before operations begin. Depowise structures this through configurable onboarding workflows, ensuring nothing is missed and every step is evidenced from day one.

  • Configurable onboarding workflow templates with document requirements, task assignment, and multi-step approval chains. Automated workflow start on new fund or transaction creation.
  • Risk scoring linked to onboarding: DDQ responses from new counterparties are scored automatically and attached to the fund and asset servicer record before operations begin.
  • Rollover capability: previous onboarding data pre-populates the next fund setup where applicable, reducing repetitive data entry across similar fund structures.

Reporting

Structured outputs across every depositary duty.

Depowise provides configurable reporting outputs across all platform modules. Standard report templates are available out of the box for cash flows, safekeeping, oversight, DDQ activity, and more. PowerBI integration is available for institutions that need to connect platform data into their wider management information and reporting environments.

  • Standard report templates covering significant cash flows, fund metrics, subscriptions and redemptions, ex-custody holdings, benchmarks, transactions, documents, and DDQ data.
  • Filter options per report: by fund, period, manager, status, and other contextual parameters.
  • PowerBI integration for institutions that want to surface Depowise data in existing dashboards and reporting environments.
  • Reports available directly from the platform navigation, with export options for internal review, regulatory evidence, and counterparty communication.

One platform advantage

Add-ons, not bolt-ons.

Fee data draws directly from fund and position records already in the platform. DDQ scores attach to asset servicer records already maintained in static data. Company secretary meetings link to the funds and counterparties already tracked. The portal gives external parties access to documents and questionnaires that already exist in the system.

Adding a module means extending what the platform already does, not starting again.

Every add-on shares the core platform’s data layer, permissions model, and audit trail. There is no separate login, no parallel reconciliation, and no re-implementation of your operating model when you activate a new module.

  • Shared single sign-on and role-based access model across core and all add-ons.
  • Common audit trail: every action, approval, and document upload across all modules is captured in the same log.
  • Data flows both ways: add-on outputs (fee approvals, DDQ scores, meeting documents) feed back into the core operational record without duplicate entry.
  • No separate onboarding project required to activate add-ons already available on your licensed platform.
“Running fee calculations manually across hundreds of funds with different structures and rate schemes was one of our biggest operational risks. Having it calculated, reviewed, and approved in the same place as everything else removed that entirely.”
